From first email to final track: The booking process with THE SOUNDTRACK
THE SOUNDTRACK’s Party Managers, Aleks and Eddy.
Planning an event, whether it's a wedding, corporate gala, or milestone birthday, involves a lot of moving parts. We get it. That's why we’ve built our booking process to be smooth, simple, and transparent, giving you one less thing to worry about. Because you’ve got enough on your plate!
So, how do we go from your initial enquiry to your guests groovin’ on that dance floor? Here’s a step-by-step look at how we work.
Step 1: Get in touch & meet our DJs
It all starts when you get in touch via our Contact page about your specific date. At this stage, we (Eddy or Aleks) check in with our team to see which DJs are available and who we think would be the best fit for the style of your event. We'll then send you their profiles and an initial quote.
Step 2: Let's chat & get your quote
Once you've had a look at the DJs, we'll book in a quick chat. This is a crucial step where we get to hear more about your day, scope out your specific requirements, and make sure we've understood your vision.
Following our conversation, you’ll receive a formal, tailored quote for your event.
Step 3: Lock it in & meet your “Party Brief”
Ready to make it official? You can lock in your quote with a 50% part payment. With that sorted, you can officially tick "Find an epic DJ" off your wedding or event to-do list.
Next, we’ll send you a link to your "Party Brief". Think of this as your online, easy-to-use music and planning HQ. We’ve carefully crafted this comprehensive online questionnaire to guide you through every musical and logistical decision. It includes:
Sections for all your music preferences, from must-plays to do-not-plays.
Helpful resources like sample playlists and detailed blogs for inspiration.
A place to capture all the important logistical details like timings and venue information.
This brief is designed to capture everything we need to know, ensuring no one misses a beat.
Step 4: The final details
Six weeks out from your event, we’ll send you the remaining 50% invoice and remind you to complete your Party Brief so we have all the details your DJ will need.
In the week leading up to your event, we always recommend a phone call with your booked DJ. They'll get in touch with you directly via SMS to arrange a time to run through the final timings, key song choices, and any last-minute questions.
Behind the scenes, we brief your DJ ourselves and liaise directly with your venue to make sure all music and sound production details are sorted.
Step 5: The big day!
This is where the magic happens. Your DJ arrives 1.5 to 2 hours before their set start time to set up and sound check.
When it comes time to get those tunes going, they will combine the detailed notes from your Party Brief with their own expertise, read the crowd, maintain the flow, and transition cleanly between songs. And when it comes to official dancing time, expect banger after banger!
